operations & finance manager
ABOUT THE JOB
We are seeking a high-level Operations & Finance Manager to bring clarity, discipline, and scalable infrastructure to our internal business operations.
This is a fractional leadership role (20–30 hours per week) designed for an experienced operator who understands financial reporting, agency profitability, and system optimization. You want meaningful ownership without full-time hours.
This role reports directly to the Founder.

WHO YOU ARE
You are:
Financially fluent and comfortable building and interpreting P&Ls
Experienced in service-based or agency business models
Highly organized and systems-oriented
Proactive and confident in recommending improvements
Calm, detail-driven, and clear in communication (verbal and written)
Comfortable working independently in a small, fast-moving team
YOUR ROLE AS AN OPERATIONS & FINANCE MANAGER
Our company is profitable, lean, and growing. This role exists to protect (and increase) margins, increase financial clarity, build scalable systems, return leadership time, and strengthen infrastructure for growth.
We are not looking for task support. We are looking for ownership.
WHAT YOU’LL OWN
Financial Leadership & Reporting
Own invoicing across all clients
Manage and follow up on accounts receivable
Prepare and deliver clean monthly P&L statements by the 10th of each month
Monitor agency profitability by client and service line
Identify expense inefficiencies and recommend improvements
Support budgeting and cash flow visibility
Coordinate payroll and contractor payments (Gusto + QuickBooks)
Prepare financial documentation for CPA as needed
You will help ensure the agency maintains strong, sustainable margins while scaling.
Operational Infrastructure
Audit and streamline internal workflows
Document and maintain SOPs across core agency functions
Ensure contracts and scopes align with profitability targets
Build repeatable systems for onboarding clients and team members
Improve reporting dashboards and internal visibility
Identify operational bottlenecks and propose solutions
Maintain internal documentation and process clarity
Executive Support & Calendar Optimization
Proactively manage founder calendar and meeting flow
Protect strategic focus time
Lead coordination of internal and client meetings
Reduce unnecessary meeting load
Ensure operational follow-through across initiatives
This role exists to increase leadership capacity while strengthening financial discipline.
THINGS YOU HAVE A LOT OF EXPERIENCE IN
You likely have:
5+ years in operations, finance, or business management
Experience in a small agency, startup, or entrepreneurial business
Strong QuickBooks proficiency
Experience with payroll systems (Gusto preferred)
Advanced comfort with Google Workspace (ClickUp bonus)
Ability to balance big-picture thinking with hands-on execution
Bonus:
Experience working with hospitality, restaurant, or lifestyle brands
Familiarity with retainer-based revenue models
This role is designed as a long-term leadership position with the potential to transition to full-time Director of Operations & Finance as revenue grows. In addition to base compensation, this role is also eligible for quarterly performance bonuses.
This fractional / part-time role is not remote and based in Charleston, SC.
